Enrolment Procedure

Before enrolling in a course at TAFE, we suggest you make an appointment with a lecturer at the campus. This will help ensure that you:

  • Are enrolling in the correct course for what you want to achieve
  • Have the appropriate pre-requisites for the course
  • Understand your study obligations
  • Know when and where your classes will be delivered.

Enrolment forms are available at the Campus Admin’s front counter. The fees and charges are outlined on the back of the form, along with a range of survey questions. You’re asked to fill in the survey as your answers provide an insight into your learning requirements.

 

IMPORTANT CONDITIONS - PLEASE READ

  1. Students must arrange payment of all fees at enrolment. Your full fees are made up of three components. (a) Service fees (b) Tuition fees and (c) Resource fees.
    Subject to the Refunds Policy a student is liable for all their fees even if they withdraw.
  2. Kimberley TAFE may refuse admission to students who have defaulted on the payment of charges and have outstanding debts to the college.
  3. Students who enrol in assessable or examinable subjects and do not complete assessment requirements will receive a FAIL/HOLD or RE-ENROL result, unless they have formally withdrawn from the subject within 50% of module/unit of competency duration. Students may formally appeal an assessment result.
  4. Students who withdraw formally within 50% of the time allocation of any modules/units of competency will have no evidence of their withdrawal lodged on their academic statement. Students who withdraw after that date will have the subject name and a RE-ENROL result included.
  5. Re-enrolment in a subject, which a student has failed twice, is not permitted, unless approval has been obtained from the college.
  6. Students may not re-enrol in a subject which the student has passed, unless approval has been obtained from the college. Where approval has been given the cost of the subject will be charged at a higher hourly rate.
  7. Assessment results will not be given over the phone. All results will be posted to your postal address, so please ensure that changes to your address details are made prior to completion.
  8. At the completion of a Certificate/Diploma/Advanced Diploma the student should submit an 'APPLICATION FOR AN AWARD' in the semester in which the award was completed. Please be aware for Mutual Recognition Kimberley TAFE can give recognition to related qualifications issued by other Australian Registered Training Organisations if supporting documentation is provided (e.g. certified copies of previous awards).
  9. The College is obligated to provide a student's name and address and enrolment data to the Department of Training, Centrelink and other authorised institutions when requested.
  10. Students are responsible for the payment of fees. Where an employer has signed an agreement with Kimberley TAFE to pay fees and charges on behalf of students, the college will invoice employers. However, if the fees remain unpaid, students remain liable for payment of all student fees.
  11. Students are advised that some courses would require them to undertake work placement within the industry. Prior to such placements a student would need to meet certain industry conditions e.g. police clearance, first aid certificate, etc. In such work placements, students are expected to act professionally and meet the normal behavioural standards of the industry (e.g. dress code, work hours, medical certificate if absent from work, etc) to satisfy the competency standards of work placement.

Payment Options

The College offers various payment plans that may suit you, they are:

  1. Pay the amount in full when you complete the enrolment form.
  2. Have your employer pay for you by presenting a signed authority or purchase order.
  3. Apply to pay your fees in instalments. (In cases of financial hardship you can have a minimum of 8 weeks from the date of enrolment to finalise your payment). You can pay a deposit of up to $100 at the time of enrolment and complete and sign the appropriate paperwork. Ask your Administration Officer for further information.
  4. Apply to have your fees waived on the grounds of severe financial hardship. The Managing Director of the College has the authority to waive fees and charges. Ask your Administration Officer for further information.

The information supplied in these applications is kept strictly confidential

 

ENROLMENT AMENDMENTS

Students must formally amend any enrolment adjustments. Please notify your Campus Administration immediately if any of the following occur:

  1. You change your name or address (documentary evidence must be provided for change of name)
  2. You wish to:
  • Withdraw from your course/module/unit of competency
  • Withdraw from any subject
  • Transfer to another class time for any subject enrolment
  • Transfer to another TAFE institution
  • Enrol in additional subjects

Note:

The College collects student information to complete the enrolment process and to maintain and improve the quality of the Vocational Education and Training System.

Enrolment details may be passed onto Government agencies, or representatives hereof, and remain confidential to those agencies. Students may also be contacted to participate in surveys, essential to monitoring the quality of service provision.

The WA Public Sector Management Act (1994) and the State Records Act (2000) provide protection against the misuse of student information.

 

IN ORDER TO PROCEED WITH YOUR ENROLMENT YOU MUST ACCEPT THESE TERMS AND CONDITIONS.

Attendance of Classes

Before classes commence, check with your lecturer so you understand the attendance requirements for your course.
In some instances you will only have to attend one class session (minimum) for each module/unit, as well as completing the required assessment tasks.
For practical subjects, your lecturer will advise what is required.
If you are absent from a class, your lecturer will provide you with any handouts that may have been distributed.

The RPL or Skill Recognition Process

The RPL(Recognition of Prior Learning) or Skill Recognition is a process that allows people to seek and gain recognition for their skills, no matter where or how these were acquired. It could be through work experience, education, training or life experience. When you apply for RPL, compare your current skills with the learning outcomes of a unit or module of the course. If you can demonstrate that you have already achieved the learning outcomes of the unit or module in a course, you can be given credit for that and you may not need to attend classes. Your credits will count towards the qualification you wish to achieve.
In short, RPL is designed to help you to gain formal recognition for the skills and knowledge you may already have.
It should certainly help you to identify your training needs more clearly, so that you don't waste time covering things you already know.

How To Apply for an Award

Once you complete all the units in your qualification, you must fill in an Application for Award form at the campus. Your lecturer will supply with you a form at the end of your studies or they are available from the front office. Once you have submitted your application, your award is processed within 30 days.

    How to Withdraw

    WITHDRAWALS and REFUNDS POLICY
    In order to qualify for a refund, students must formally withdraw either by completing an Enrolment Amendment form or by withdrawing in person at the admin counter.
    This policy does not apply to International Students. International Students seeking a refund must contact TAFE International.
    Full refund will be granted if:
    • a student withdraws from an entire course because the course is cancelled 
    • the College reschedules a class / course to a time unsuitable to the student
    • the student was not given a place due to maximum number of places being reached.
    • the student has been offered a full-time University place or a full-time offer at another TAFE college for the semester to which the Kimberley TAFE enrolment applies (written evidence of the offer must be presented)
    NB: In all cases, refunds are not automatically made. The student must formally request a refund by filling in the 'REFUND & WITHDRAWALS' form.
    Partial refund will be granted if:
    • full tuition fees paid and up to 50% of resource fees are refundable if a student lodges a withdrawal form within the first 4 weeks (20 working days) of the start of the program of study for that enrolment period (or 25% of tuition hours, whichever is sooner). The start date of this period to be taken from and include the first official class/attendance/contact. NB: Enrolment fee is non-refundable.
    • a student can offer written evidence that they must withdraw for reasons beyond their control and which prevent them continuing their studies. In such cases as are approved by the college the refund will be on a pro-rata basis.
    No refund will be granted if:
    • a withdrawal/application for refund is submitted that does not meet the previously listed requirements. (No refund applies to modules/units of competency not yet commenced if the application is lodged after the specified period - as they are part of a course/program of study).
    • because of the ceiling of Tuition Fee charges, full-time students who withdraw from a single module/unit of competency may not, in some instances, be entitled to a refund.
    Closing Date for Refunds based on Concessional Enrolments
    • Students who do not have concession cards at the time of enrolment must pay full fees. Students may claim a refund to adjust their fees to the concessional rate if they are able to obtain a concession card and present it at the College before a roll is resulted. (The college will accept a temporary notice from the relevant organisation that an allocation of a concession card is pending).
    Special circumstances
    • Pro-rata refunds may be approved by the Managing Director or nominee if students can establish with documentary evidence satisfactory grounds for withdrawing from the course/qualification e.g. serious illness or disability, transfer of employment or other circumstances beyond their control.
    Students who withdraw while on a Payment Plan
    • A student on an instalment plan option will only be entitled to a refund if the total owed by the student is less than the refund due. In situations where a student owes more than the refund due, a new Fees Payment agreement will be issued and their outstanding debt amended. Note: If students do not officially withdraw, within the limits as previously explained, they will still be liable for full payment of any outstanding fees.
